ONLYOFFICE, the renowned open source project focused on secure and advanced document processing, has released a new tool that promises to change the way companies and work teams collaborate on their documents. The solution, called ONLYOFFICE DocSpace, facilitates collaboration with clients, business partners, contractors and external users, through an innovative system of “rooms” or virtual spaces with predefined permissions.
A new era in documentary collaboration
Collaboration and personalized rooms
ONLYOFFICE DocSpace is based on the concept of rooms, which are virtual spaces with predefined permissions that allow users to work on documents together and in an organized way.
The platform offers two types of rooms:
- Collaboration rooms: ideal for real-time co-authoring of documents.
- Custom Rooms: With flexible settings to suit different business purposes.
Permissions and accessibility
Custom rooms allow you to grant different levels of access to users, from simply viewing documents to the ability to comment, review, or fill out forms. This eliminates the need to share documents or folders individually.
DocSpace supports collaborative editing and viewing of various types of content, such as text documents, spreadsheets, presentations, forms, eBooks, and PDF files. It also offers storage and viewing of media files.
Security and data protection in ONLYOFFICE DocSpace
Privacy and encryption standards
ONLYOFFICE DocSpace places special emphasis on security, complying with major data privacy standards such as the General Data Protection Regulation (GDPR) and the Health Insurance Portability and Accountability Act (HIPAA).
The solution offers multiple features to protect sensitive information, such as AES-256 encryption algorithm, HTTPS protocol, JWT tokens, activity tracking, audit reporting tools, two-factor authentication (2FA), single sign-on ( Single Sign-On), trusted email domains, session lifetime, IP restriction, and data backups.
Integration with cloud services
Initially, ONLYOFFICE DocSpace will be available on a secure public cloud provided by Amazon, although users will be able to connect third-party cloud storage solutions, such as DropBox, Nextcloud or OneDrive, to back up their data. A self-hosted version of DocSpace is expected to be available soon.
ONLYOFFICE DocSpace Plans and Pricing
DocSpace is offered in two rate plans:
- Free Startup Plan: includes 1 administrator, 2 power users, up to 12 rooms, unlimited users in each room, and 2 GB of disk space. This offer will be available for a limited time.
